Privacy Policy

This Privacy Policy explains how Absentie ("Absentie", "we", "us", or "our") collects, uses, stores, and shares information when you use the Absentie mobile application, website, team features, and related services.

1. Information We Collect

Account information

You may use certain local features without creating an account. If you sign in, we may process information such as your name, email address, phone number, account identifiers, and authentication information provided through supported sign-in providers.

Attendance information

When you create an attendance record, Absentie may process information including:

• A photo captured through the application camera.
• GPS latitude and longitude and reported location accuracy.
• Date and time associated with the attendance.
• Your attendance description or note.
• Camera-facing information and technical verification or integrity information supported by the application.
• The team or teams you choose to share the attendance with.

Device and technical information

We may process limited technical information necessary to operate, secure, diagnose, and improve the service, such as device identifiers used by the application, application version, operating system information, synchronization status, and security or integrity signals.

2. Local-Only Use

Absentie is designed with local-first use in mind. Certain attendance records may remain only on your device when you use Absentie without team sharing. Local records are subject to the application's local storage limits and remain under the storage and security controls of your device.

Exported CSV or ZIP files are external files created at your request. Once exported or shared to another application or storage provider, those copies are controlled by you and the receiving service.

3. Team Sharing

If you join a team, you will be informed that attendance information may be shared with that team. You retain control over which eligible attendance records you choose to share, subject to the application's current features.

When you share an attendance with a team, the team owner and authorized team administrator may be able to access the shared attendance and related reporting information. A team may retain attendance previously shared with it even if you later leave that team.

4. How We Use Information

We use information to provide and operate Absentie, create and display attendance records, synchronize records you choose to share, provide team reports, maintain account and subscription functionality, deliver requested integrations, prevent abuse, troubleshoot technical problems, and comply with applicable legal obligations.

5. Location, Camera, and Permissions

Absentie requires camera and location access to create attendance records. Attendance cannot be created through the normal attendance flow if required permissions or location information are unavailable. Photos for attendance are captured through the application camera rather than selected from the device gallery.

You can manage operating-system permissions through your device settings. Disabling required permissions may prevent attendance features from working.

6. Service Providers

We may use service providers to operate parts of Absentie, including infrastructure, transactional email, authentication, payment processing, and other technical services. These providers process information only as necessary to provide their services to us or as otherwise permitted by their own terms and applicable law.

Payments may be processed by third-party payment providers. We do not need to store your full payment-card details when those details are handled directly by the payment provider.

7. Webhooks and Team Integrations

A team owner may configure an optional webhook integration. When an attendance is shared with a team connected to a webhook, relevant attendance event data may be sent to the endpoint configured by that team. The team controlling that endpoint is responsible for its own handling of information received through the integration.

8. Data Retention

Attendance received by our server may remain accessible through team reporting for up to 18 months, subject to the applicable product status and retention rules. We may retain server-side attendance data for up to 24 months before deletion for operational retention purposes.

Different retention periods may apply when an account or subscription is inactive, a team is dissolved, information must be retained for security or legal reasons, or deletion is required earlier by applicable law.

9. Security

We use reasonable technical and organizational safeguards designed to protect information. However, no application, network transmission, device, or storage system can be guaranteed to be completely secure.

10. Your Choices and Rights

Depending on your location and applicable law, you may have rights relating to your personal information, including rights to request access, correction, deletion, or information about how your data is processed.

You may leave a team voluntarily. A team owner cannot prevent you from leaving, although attendance already shared with the team may remain in that team's historical reports according to applicable retention rules.

11. International Use

Absentie may initially operate primarily for users in Indonesia and may expand internationally. If information is processed across borders, we will handle it in accordance with applicable legal requirements.

12. Children's Privacy

Absentie is not intentionally designed as a service directed to young children. Organizations using Absentie are responsible for ensuring that their use of the service, including use involving minors where legally permitted, complies with applicable law and consent requirements.

13. Changes to This Policy

We may update this Privacy Policy as Absentie evolves. We will publish the revised policy with an updated effective date and provide additional notice when required by law.
